Deadline Flexibility Field in Asana (PM-Only)

This private field helps PMs flag whether a task’s due date is immovable or can be shifted. It’s used during traffic prep and capacity planning to quickly identify which hours are locked vs. which can flex.

⚙️ Field Definition + Examples

  • Field type: Dropdown (Private)
  • Options:
    • 🔒 Fixed → Hard deadline, cannot move.
      • No wiggle room at all.
      • Examples: 
          • Scheduled client presentation
      • Campaign launch date tied to an event / promotion
        • Contractual deliverable with penalties if late
        • Live webinar or in-person event materials
    • Limited → Small wiggle room, can shift up to ~7 days without major impact.
      • Short-term flexibility, but still time-sensitive.
      • Examples: 
        • Internal review of copy/design 
        • Blog draft due internally, but not yet promised externally
        • Prep work ahead of a client meeting (as long as final is ready in time)
        • Design iteration that can slide a few days without blocking launch
    • 🔀 Flexible → Can be moved with minimal/no impact, up to ~2 weeks.
      • Safe to push out if bandwidth is tight.
      • Examples:
        • Evergreen content (blog, CTA strategy, guide) with no tied campaign
        • Backlog clean-up or documentation tasks
        • Process improvements (updating templates, service narratives, knowledge base articles)
        • Optional optimizations (SEO tweaks, design polish, reporting recommendations)

📑 How to Access + Utilize

  • Included in the Inbound Task Templates w/ Custom Fields bundle & all Asana templates for client work that are located in the Templates team.
    • Visible to PMs only (not shared org-wide).
  • Add this field only on parent tasks and the final subtask in a task template (e.g., Finalize, Launch, Publish).
  • Do not apply on every single subtask (unless desired) — the final task’s value should determine the overall rigidity of the workflow.
  • This keeps updates lightweight while still signaling clearly during traffic prep.
  • Make sure to check and update the field weekly as a part of traffic prep 

📊 How We Use It in Traffic Prep

  1. Workload board → Check total hours by person.
  2. If someone is overbooked:
    • Tasks with 🔒 stay in place.
    • Tasks with ⏳ / 🔀 can be shifted or reassigned.
  3. Adjust tasks directly using the field as your guide.
  4. Summarize adjustments or recommendations for the PM team to review asynchronously.
